Duties

Core Responsibilities

  • Accession, sort, catalogue, and index physical and digital archival materials following standard archival practices.
  • Create and update finding aids, metadata records, and indexes.
  • Digitise selected documents, photos, and other archival items.

Research and Reference Services

  • Help researchers by answering reference and information queries in person or online.
  • Support research projects by fetching and preparing materials as needed.

Outreach Activities

  • Assist with outreach events, such as setting up exhibitions and guiding visitor groups.

Administrative and Support Functions

  • Update and maintain archival databases and finding aids.
  • Help manage document storage and related tasks.
  • Support the management and monitoring of the physical facility, including space planning, rearranging, and moving collections.
  • Provide assistance with administrative and other tasks as required.
  • This position is based on campus in Stellenbosch and requires full-time presence in the office—no remote or hybrid options.

Job Requirements

  • A relevant degree in Archival Studies, Library and Information Science, History, or a related field.
  • Recent graduate with no full-time work experience.
  • Basic understanding of archival theory, principles, and methods.
  • Skills in Microsoft Office applications.
  • Good written and spoken English and Afrikaans.
  • Ability to plan, prioritise, meet deadlines, and work independently.
  • Systematic approach with strong attention to detail.
  • Proactive, flexible, and service-focused attitude.
  • Work in an office on campus with a team of experienced archivists.

Recommendations

  • Knowledge of digitisation practices and standards.
  • Experience with metadata creation and controlled vocabularies.
  • Understanding of archival preservation and conservation.
  • Knowledge of South African history and Stellenbosch University history.
  • Strong interpersonal skills and ability to work in a team.
