You will handle the following tasks:

  • Manage inventory for all goods in a cost-effective way.
  • Check daily depot coverage and contact Planning if needed.
  • Report any stock shortages to the Depot, Sales, and Planning teams.
  • Plan storage locations for products with the Operations Manager or Inventory Clerk, using ABC Analysis.
  • Prepare physical inventory documents for daily cycle counts and monthly stock checks.
  • Do regular floor walks to keep inventory areas clean and organized daily.
  • Keep write-offs and losses to a minimum.
  • Ensure good stock availability and proper rotation.
  • Provide the best service to internal and external customers.
  • Support excellent customer service, measured by On Time In Full (OTIF) delivery.
  • Resolve customer complaints quickly and effectively.
  • Handle stock movements and documents following ICC and internal/external audit rules.
  • Review and update stock loss controls regularly, including breakages.
  • Maintain proper stacking heights.
  • Perform routine audits, such as risk audits for depots without a site controller and quality audits.
  • Conduct regular quality control checks in the Distribution Centre.
  • Display updated quality guidelines around the warehouse.
  • Complete the shelf-life tracker and highlight short-dated stock to Quality Control and sales.
  • Check stock quality on receipt and before dispatch.
  • Apply the FIFO principle by printing bin pulling sheets for the warehouse.
  • Follow the stock age policy and get approvals for all concessions.
  • Follow the product recall policy and manage it at the site level.
  • Move frozen stock to the blocked zone in SAP to avoid orders and show correct days of cover.
  • Follow internal control measures like ICCs, ISO requirements, and Operations Excellence standards.
  • Perform stock counts as per company standards and procedures.
  • Prepare the system and site for effective stock counts.
  • Process all stock adjustments before starting the count, including sorted containers.
  • Start the stock take in SAP and upload physical counts from the stock system.
  • Create the stock variance report and investigate differences using root cause analysis.
  • End the stock take in SAP and generate/store posting and audit reports.
  • Prepare the daily stock report and get approvals from relevant teams.
  • Do extra stock counts for any unresolved variances.
  • Verify that route settlement corrections are processed correctly.
  • Clear open cycles in SAP, like shipments and transfer orders.
  • Update key performance indicator boards.
  • Handle stock write-offs, variances, and age reports.
  • Manage secondary and primary distribution shipments.
  • Ensure all post-goods issues are processed for deliveries and driver corrections.
  • Reconcile daily invoices to shipments and deliveries.
  • Check and file all daily load plans and distribution gate registers.
  • Verify inter-depot movement notes against the gate register and file them.
  • Follow up on any unreceived inter-depot shipments.
  • Log inter-depot claims as per the procedure.
  • Confirm monthly inter-depot movements with dispatching sites.
  • Report missing, broken, or foreign products, and conduct surveys as needed. Capture and communicate daily for customer follow-up.
  • Investigate short or over loads and charge depots, drivers, or 3PLs for shortages.
  • Ensure all stock postings go to the correct accounts.
  • Prepare variance reports with commentary and trend analysis for management.
  • Highlight high-risk incidents related to losses from damage, theft, or quality issues.
  • Control operational costs per liter by improving asset use.
  • Share the company’s vision, mission, values, and goals with all employees.

The ideal candidate will have:

  • A relevant tertiary qualification (NQF6) in Logistics, Inventory, Warehousing, or similar.
  • At least 2 years of experience in FMCG Logistics or Distribution.
  • Strong skills in MS Office; experience with SAP, Strato, or Success Factors is a plus.
  • The ability to work under pressure and meet deadlines.
  • Excellent written and oral communication, plus good presentation skills.
  • Flexibility to work after hours or shifts if required.
  • Knowledge of relevant laws and regulations.
  • Understanding of customer service principles and practices.
  • Experience in a customer service role is essential.
