Position Overview

We are seeking a suitably qualified and experienced individual to join our team as an Administrator on a short-term contract basis. This is a 12-month opportunity within the Office of the Chief Operations Officer, reporting to the Community Development Department.

Purpose of the Job

The Administrator will be responsible for handling all information produced and received within the Community Development Department. This role serves as a critical support function, ensuring smooth administrative operations, effective stakeholder communication, and proper documentation management for all community development initiatives.

Key Responsibilities

The successful candidate will be expected to perform the following duties, though not limited to:

  • Departmental Support: Provide comprehensive administrative support to the community development department by overseeing daily administrative tasks and managing communication with both project and client stakeholders
  • Report Coordination: Coordinate the preparation and distribution of status reports, action reports, and task schedules, ensuring all documentation is accurate and delivered within specified timeframes
  • Meeting Management: Compile meeting agendas, take detailed minutes, and distribute documentation for all stakeholder meetings, ensuring follow-up on action items
  • Project Assistance: Assist in the planning, implementation, and monitoring of various community development projects and initiatives from conception to completion
  • Document Management: Prepare, organize, and manage all documents within the community development office, maintaining proper version control and accessibility
  • Database Maintenance: Ensure all reports and documents are properly stored in the appropriate database systems, maintaining data integrity and confidentiality
  • Stakeholder Coordination: Schedule stakeholder meetings, document discussions, and communicate instructions on behalf of the Community Development Manager and Community Development Officers
  • Report Consolidation: Consolidate status reports received from Community Development Officers and external stakeholders into comprehensive summaries for management review
  • EPWP Support: Provide dedicated support with the implementation of Extended Public Works Programme (EPWP) project plans and related activities

Minimum Job Requirements

Interested applicants must meet the following minimum qualifications:

  • Education: Grade 12 or equivalent qualification at NQF Level 4 with at least 120 credits
  • Experience: Minimum of 1 to 2 years’ proven experience in office administration or a similar environment
  • Advantageous Qualification: A Diploma or National Diploma in Public Management, Public Administration, or a related field will be considered a strong added advantage
