Requirements and Expectations

Minimum Requirements

  • A Senior Certificate (Grade 12) or relevant qualification.
  • Computer literacy (MS Word and Excel).
  • One (1) year of relevant experience will serve as an added advantage.
  • Basic knowledge of financial operating systems such as PERSAL, BAS, and LOGIS.
  • Knowledge of government administrative procedures and telephone etiquette.
  • Strong client orientation and customer focus.
  • Good communication skills (verbal and written).
  • Excellent interpersonal skills and ability to work under pressure and in a team environment.
  • Demonstrated accountability and ethical conduct.

Key Duties and Responsibilities

  • Operate and manage the switchboard, attending to all incoming and outgoing calls.
  • Transfer calls to relevant officials and take accurate messages when necessary.
  • Attend to walk-in clients and visitors, ensuring professional and timely assistance.
  • Register and manage incoming and outgoing correspondence and mail deliveries.
  • Maintain and update the switchboard system and related administrative records.
  • Maintain a clean and organized filing system for correspondence and vouchers.
  • Process travel bookings, cancellations, and changes, ensuring timely feedback to officials.
  • Liaise with clients and service providers regarding photocopier machines, toners, and switchboard issues.
  • Provide administrative support to the Area Manager.
