Introduction
We are seeking a Mail Service Assistant for our Group Facilities department. The role is based in Woodstock, Cape Town, and reports to the Mail Service Supervisor.
Job Description
Purpose and Objectives
The role involves receiving, handling, and delivering all mail-related items, including incoming and outgoing mail, registered mail, faxes, courier items, supplies, and loading bay activities.
Incoming Mail
- Sort all incoming mail items daily.
- Perform ad hoc incoming mail tasks as needed.
- Handle all registered items daily.
- Manage and distribute incoming faxes daily.
- Sort and handle all received courier items.
- Deliver mail to departments.
Outgoing Mail
- Collect mail from departments.
- Handle and sort all outgoing mail items and courier parcels for the post office and external delivery daily.
- Complete ad hoc tasks as requested.
- Manage all registered items daily.
Dry Cleaners
- Receive and dispatch dry cleaning for staff.
- Prepare documentation for dry cleaning services.
- Accept and record payments for the service.
- Coordinate with the dry cleaning collection team.
Loading and Receiving Bay Duties
- Receive all deliveries and log them in the relevant registers.
- Distribute mail house items and supplies daily.
- Check seals on incoming roll containers and deliver them to the correct departments.
Policies and Procedures
- Follow all health, safety, and quality policies and procedures.
- Report any issues or concerns to your supervisor.
- Take steps to stay compliant with all policies and procedures.
Minimum Requirements
Qualifications and Experience
- Matric certificate.
- 2-3 years of similar experience in a related environment.
Skills, Abilities, and Job-Related Knowledge
- Knowledge of mailroom equipment and software.
- Customer service experience.
- Understanding of service level agreements (SLAs), processes, and procedures.
