Requirements
- Matric plus a Secretarial Diploma or equivalent at NQF Level 6, as recognized by SAQA.
- A minimum of 3-5 years’ experience in providing support services to senior management in a project management environment is an advantage.
- Good communication skills, time management skills, organizing skills, computer skills, and planning skills.
Duties
- Provide secretarial support services, including receiving telephone calls, operating office equipment like fax machines and photocopiers, recording engagements, and managing meeting requests. Compile realistic appointment schedules.
- Ensure the effective flow of information and documents to and from the office. Maintain the safekeeping and confidentiality of all documents and correspondence according to relevant laws and policies. Gather inputs, collate, and compile reports such as progress, monthly, and management reports.
- Handle filing of documents, collect and analyze information as requested, clarify instructions, and take notes on behalf of the senior manager. Coordinate travel arrangements and handle procurement of standard items like stationery and refreshments.
- Obtain necessary signatures on documents such as procurement advice and monthly salary reports. Support the senior manager with meeting administration, including scrutinizing documents, collecting and compiling necessary information, recording minutes and decisions, communicating to relevant parties, and following up on progress. Coordinate logistical arrangements for meetings when needed.
- Support the senior manager with budget administration. Collect and coordinate budget-related documents, keep records of expenditure commitments, monitor spending, and alert the senior manager to possible over- or under-spending. Check and correlate reports to ensure correct allocation of expenditure. Identify needs for fund transfers, consult with the senior manager, and prepare draft memos for this purpose.
