Admin Manager

We are looking for an experienced professional to lead our admin team. This role involves developing new programs and policies for patient services, managing staff, working with hospital departments, and handling budgets and financial reports.

Job Description

  • Manage the admin department and processes related to non-releases.
  • Handle credit control queries.
  • Manage case manager updates and escalations for medical aids.
  • Ensure accurate ICD-10 and CPT coding.
  • Analyze billing errors.
  • Manage fixed fee contracts with medical aids.
  • Oversee staff management.
  • Prepare daily and monthly reports on admin stats for the hospital manager and head office.
  • Handle month-end finalization of files.
  • Prepare quotations for private patients, manage financial risks, and oversee daily banking.
  • Audit hospital folders for amounts over 10K.
  • Audit coding on claims and check for captured co-morbidities.
  • Audit clinical data submitted to medical funders.
  • Ensure the high-cost medication process is followed.
  • Be responsible for the security and accuracy of patient records.
  • Liaise with stakeholders on claims and billings, ensuring all queries are actioned by the team.
  • Oversee and improve billing processes.
  • Plan and implement quality assurance for billing and case management.
  • Conduct regular staff meetings on billing plans and implementations.
  • Help standardize work methods.
  • Ensure billing operations follow department protocols, Melomed regulations, and guidelines. Review procedures and evaluate staff performance.
  • Stay updated on coding, billing regulations, compliance, and scheme rule changes.
  • Provide training for new and existing staff on policies, systems, and procedures.
  • Check daily reports.
  • Prepare ward reports, ensuring all patients are allocated to a case manager and updated.
  • Manage non-releases, ensuring all discharge folders are received.
  • Monitor the Medikredit control panel to ensure accurate claims submission.
  • Check daily theatre slates.
  • Follow up on daily, weekly, and monthly queries.
  • Assist staff with escalations for claims, queries, billings, and letters of motivation.

Job Requirements

  • Grade 12.
  • A relevant tertiary qualification is an advantage.
  • At least 3-5 years of management or supervisory experience.
  • Knowledge of ICD-10 and CPT coding.
  • Knowledge of medical aid rules and fixed fee contracts with funders.
  • Strong understanding of private hospital billing guidelines.
  • General accounting knowledge and financial skills.
  • Ability to work well under pressure and independently.
  • Excellent computer skills.
