About the Role
We are looking for an experienced and professional Executive Assistant to provide high-level administrative support to senior executives, investment professionals, and their teams. This is a 6-month contract position in the Northern Suburbs of Cape Town. It is perfect for an organized, proactive, and tech-savvy person who works well in a fast-paced environment.
Key Responsibilities
You will help ensure smooth operations and great support for senior team members. Your main tasks will include:
- Managing complex schedules, appointments, and calendars for senior executives and teams.
- Coordinating calls with clients, deals, experts, and portfolios, including preparing all needed documents.
- Handling meeting logistics, such as setting up video conferences, booking rooms, and making arrangements.
- Organizing travel plans like flights, hotels, transfers, and visas, following company policies. You will work with travel partners and other assistants as needed.
- Preparing and submitting expense reports and tracking approved costs.
- Providing support outside regular hours for traveling team members in different time zones.
- Helping and covering for other executive assistants in the company when required.
- Updating CRM systems like Salesforce and document storage like Egnyte.
- Assisting with team events, webinars, and client functions, including finding and booking venues.
- Working on special projects and providing ongoing operational help.
Job Requirements
Qualifications and Experience
- Grade 12
- National Diploma or Bachelor’s Degree in Business Administration, Office Management, or a related field.
- 4–7 years of experience as an Executive Assistant, Personal Assistant, or similar role supporting senior leaders.
- Strong skills in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Good knowledge of virtual tools like Teams and Zoom.
- Experience with CRM systems like Salesforce and document tools like Egnyte is a plus.
- Background in financial services, investment, or professional services is helpful.

- Language and Communication: Excellent English skills; able to write and communicate clearly for senior leaders.
- Tech Skills: Advanced in MS Office and virtual meeting tools. Knowledge of Salesforce or similar is an advantage.
