Departmental Assistant: Governance, Risk and Assurance Department (Pretoria)

Purpose of the Job:
To provide administrative and secretarial support to the Governance, Risk and Assurance Department. The person in this role will report to the Senior Manager.
Key Performance Areas:
- Provide secretarial support to the Senior Manager, including diary management, screening calls, and handling client enquiries.
- Plan and arrange departmental workshops, social events, travel, and hotel accommodation based on the department’s annual operational plan.
- Book departmental meetings, distribute agendas, and share other communications and documents.
- Book training and conferences for the team, including writing memorandums and coordinating payments.
- Manage departmental stationery, including ordering and controlling stock.
- Coordinate and manage the team’s telephone bill reconciliations, diary management, and venue bookings.
- Maintain electronic filing systems.
- Arrange access and office space for visitors.
- Facilitate attendance at meetings and business continuity management (BCM) site tests, including compiling attendance registers, arranging meeting rooms, and transport where needed.
- Perform regular asset verification against the departmental asset register.
- Log general office maintenance and IT issues on the relevant helpdesks and follow up on queries.
- Ensure supplier invoices are processed on time, including gathering necessary supporting documents from the team or service providers, obtaining required signatures for approval, raising requisitions, and routing to Finance or Supply Chain units.
- Provide general administrative support to team members, including helping prepare documents and slides for presentations and meetings, writing memorandums, preparing committee submissions, and handling administrative enquiries.

- The candidate must show excellent spoken and written English skills. They should be disciplined, organised, reliable, trustworthy, and make sound judgments. They need to be self-confident, friendly, cooperative, and supportive. They must commit to effective teamwork, completing work on time to a high standard, and protecting and enhancing the organisation’s reputation. Exceptional interpersonal skills and a professional demeanor are essential.
Requirements:
- A Matric Certificate plus a relevant Secretarial Diploma or Administrative qualification, with at least 2 years’ experience as a secretary or administrative assistant.
- The candidate must be computer literate with advanced knowledge of MS Office products (Word, Excel, Access, and PowerPoint). They should have experience using computer programs for word processing, databases, and spreadsheets.
- Exceptional customer service skills and the ability to coordinate and schedule management meetings, gather agenda items, and materials as required.
- The ability to handle multiple tasks at once. Accuracy is essential.
