Requirements
- National Senior Certificate plus a National Diploma (Level 6/7) or a Bachelor’s Degree (NQF Level 7) in Office Administration, Public Administration, or a related field, as recognized by SAQA.
- At least 3 years of experience at Assistant Director or Junior Management level in executive administrative support and coordination.
- Strong written and spoken English skills, plus knowledge of another official language.
- Understanding of strategic planning, coordination, and professional report writing.
- Familiarity with document formats, routes, and quality control in the department.
- Knowledge of the hierarchy and management structure of the Executive Authority’s office.
- Awareness of relevant policies, legislation, public service procedures, and departmental rules.
- Skills in organizing, facilitating, communicating, computer use, and technical writing.
- Ability to interact professionally with ministries, senior management, officials, and the public.
- Works well alone or in a team, with good interpersonal skills.
- Handles difficult people and resolves conflicts effectively.
- Responsible, loyal, objective, honest, and committed to confidentiality.
- Service-oriented, self-motivated, and able to supervise oneself.
- Valid driver’s license.
Duties
- Provide administrative support in the Executive Authority’s office.
- Handle administrative tasks to ensure the smooth operation of the MEC’s office.
- Manage physical and financial resources for the MEC’s office.
- Procure goods and services effectively for the MEC’s office.
- Compile complete office reports.
- Ensure the MEC’s office runs efficiently and functions well.
- Organize and facilitate sessions for portfolio questions.
- Provide registry support in the Executive Authority’s office.
- Offer registry counter services.
- Manage incoming and outgoing correspondence.
- Provide effective filing and record management.
- Safekeep documents for archiving and disposal.
- Develop and implement records management policies.
- Provide logistical support for meetings.
- Set standards for effective cost control.
- Generate quarterly cost control analyses and suggest adjustments to the Chief of Staff.
- Monitor travel arrangements and accommodation for the MEC’s office.
- Ensure daily delivery of newspapers.
- Manage strategic support.
- Contribute to strategic, business/operational, and procurement plans.
- Analyze, identify, and compile monthly and quarterly reports.
- Manage administrative support.
- Facilitate the Employee Performance Management and Development System (EPMDS) and support all staff.
- Handle human resources, including attendance registers and leave records.
- Monitor financial resources, such as budgets, cash flow projections, and in-year monitoring.
- Conduct performance development and training needs analysis for staff.
