Personal Assistant to DDG: Human Settlements Planning

Requirements:

  • Matric plus a Secretarial Diploma or equivalent at NQF Level 6, recognized by SAQA.
  • At least 3-5 years of experience providing support to senior management in a project management setting is an advantage.
  • Strong communication, time management, organizing, computer, and planning skills.

Duties:

  • Provide secretarial support, including handling telephone calls and maintaining office equipment like fax machines and photocopiers.
  • Manage appointments by recording engagements, deciding on meeting requests, and creating realistic schedules.
  • Handle administration tasks, such as ensuring smooth flow of information and documents, and maintaining confidentiality of all records in line with laws and policies.
  • Prepare reports by gathering inputs, compiling progress and monthly reports, and filing documents.
  • Collect, analyze, and organize requested information, and clarify instructions on behalf of the senior manager.
  • Coordinate travel arrangements and procure standard items like stationery and refreshments.
  • Monitor the senior manager’s and unit’s activities, obtain necessary signatures on documents like procurement advice and salary reports.
  • Support meetings by preparing documents, taking minutes, communicating decisions, and following up on actions; also handle logistical arrangements when needed.
  • Assist with budget administration by collecting related documents, tracking expenditure, alerting on potential over- or under-spending, verifying reports, and preparing memos for fund transfers.
